1. Acceptance of Terms
These Terms & Conditions ("Terms") constitute a legally binding agreement between you (and, where applicable, the company or organization you represent) and Expo ERA Travel LLC ("Expo ERA Travel," "we," "us," or "our"). By accessing our website, submitting a housing request, or booking accommodations through Expo ERA Travel, you acknowledge that you have read, understood, and agree to be bound by these Terms, including our Cancellation & Refund Policy, which is incorporated into these Terms by reference. If you do not agree to these Terms, please do not access our website or use our services.
2. Independent Housing Provider Disclaimer
Expo ERA Travel is an independent trade show housing and travel logistics company. We facilitate hotel accommodations and group room blocks on behalf of exhibitors, event teams, and travel coordinators attending trade shows and expos across the United States and Canada.
Unless expressly and specifically stated otherwise in writing, Expo ERA Travel is not affiliated with, sponsored by, endorsed by, or officially contracted on behalf of any trade show organizer, event producer, or convention venue. References on our website or in our communications to any trade show, expo, or venue are for descriptive and informational purposes only, and do not imply any partnership, endorsement, or official relationship with that organizer or venue unless explicitly confirmed by Expo ERA Travel in writing.
3. Booking, Rates & Payment
Hotel availability and rates presented by Expo ERA Travel are based on inventory negotiated with our partner hotels for a specific event and are subject to change until a reservation or room block is confirmed in writing. Corporate and group rates offered through Expo ERA Travel are specific to the event, dates, and organization for which they were negotiated and may not be transferable to other events or bookings.
Quoted rates may be exclusive of applicable taxes, resort fees (where charged directly by the hotel), and service charges, which will be disclosed prior to booking confirmation wherever possible. A twenty-five percent (25%) non-refundable deposit is required to confirm any booking, and the remaining balance must be paid in full no later than fourteen (14) business days prior to the arrival date. If the balance is not paid by that deadline, Expo ERA Travel reserves the right, subject to applicable law and supplier terms, to cancel the booking without further liability and to retain any amounts already paid, to the extent permitted by law. Payments are processed securely, and you are responsible for ensuring payment information provided is accurate and current.
4. Cancellation, Modification & Refund Policy
Full deposit, payment-deadline, and cancellation terms are set out in our Cancellation & Refund Policy, which is incorporated into these Terms by reference and governs in the event of any inconsistency with this section. In summary:
- Cancellations made 14 or more business days before arrival may be subject to applicable supplier charges;
- Cancellations made 13 to 7 business days before arrival may result in up to 50% of the total booking value being non-refundable;
- Cancellations made 6 business days or fewer before arrival are 100% non-refundable;
- No refunds, credits, or adjustments apply for a no-show, unused services, or early departure, unless otherwise agreed in writing or required by applicable law;
- Where a hotel partner's own cancellation policy is more restrictive than the terms above, the more restrictive policy prevails.
Refunds, where approved, are not guaranteed, may be reduced to account for supplier or administrative charges, and may in some cases be issued as a non-transferable travel credit instead of cash. See the full Cancellation & Refund Policy for complete terms.
5. Chargebacks & Payment Disputes
Before initiating any chargeback or payment dispute, you agree to contact Expo ERA Travel directly and provide a reasonable opportunity to investigate and resolve the issue. A chargeback or payment reversal determined to be wrongful, fraudulent, or otherwise unjustified may constitute a breach of these Terms, and you may be liable, to the extent permitted by applicable law, for any resulting damages, fees, administrative expenses, or reasonable recovery costs incurred by Expo ERA Travel.
6. Force Majeure & Event Changes
Expo ERA Travel shall not be liable for any failure or delay in performance, or for any loss, damage, or additional cost, resulting directly or indirectly from circumstances beyond our reasonable control, including but not limited to: trade show or event cancellation or postponement; venue changes or closures; natural disasters; severe weather events; acts of God; pandemics or public health emergencies; government travel restrictions or advisories; labor disputes or strikes; and acts of war, terrorism, or civil unrest.
In the event of a force majeure event affecting your trade show or accommodations, Expo ERA Travel will make commercially reasonable efforts to assist you in coordinating with the applicable hotel partner regarding cancellation, rebooking, or refund options, but any such outcome remains subject to that hotel's own force majeure and cancellation policies.
7. Guest Responsibilities
Each guest booked through Expo ERA Travel is responsible for complying with the individual policies of the hotel at which they are staying, including but not limited to check-in/check-out procedures, identification and payment verification at the front desk, incidental charge holds, smoking policies, and property damage rules. Guests are financially responsible for any incidental charges (such as room service, minibar, parking, or damage) billed directly by the hotel during their stay.
Guests are expected to conduct themselves professionally and in accordance with the hotel's code of conduct. Expo ERA Travel is not responsible for charges, penalties, or consequences arising from a guest's violation of hotel policy.
8. Limitation of Liability
Expo ERA Travel acts as an intermediary between you and third-party hotel partners and vendors; we do not own or operate the hotels or venues associated with your booking. To the fullest extent permitted by law, Expo ERA Travel is not liable for:
- The acts, omissions, service quality, or safety practices of any partner hotel, venue, or third-party vendor;
- Loss, theft, or damage to personal property occurring at a hotel or venue;
- Indirect, incidental, special, or consequential damages, including lost business, lost profits, or lost bookings, arising from your use of our services.
Where liability cannot be excluded under applicable law, Expo ERA Travel's total liability for any claim arising from your booking is limited to the amount of fees paid by you to Expo ERA Travel for the specific reservation giving rise to the claim.
9. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of Michigan, USA, without regard to its conflict-of-law principles. Any disputes arising under or relating to these Terms shall be subject to the exclusive jurisdiction of the state and federal courts located in Michigan.
